Executive Assistant - £35000 -£40000 per annum plus company benefits - Flexible on location

We are recruiting for an Executive Assistant to support our CEO Rob Pitcher leading our company to success. This is a rare gem of a role so we are keen to find the perfect person for the job!

 

What we are looking for:

We are looking for someone who is a naturally exceptional communicator and who is comfortable communicating with people at all levels.

The role requires someone who has a natural can-do attitude, a positive & outgoing disposition, high resilience, is forward thinking and someone who genuinely cares about supporting others and is comfortable in dealing with highly confidential information.

You will be highly articulate and personable, with excellent Microsoft 365 skills.

As the role is varied in its nature, we require someone who is flexible in their approach to the work they undertake.

Job Purpose:

  • To provide comprehensive support to the CEO in all management, organisation and scheduling relating to diary management, personal availability, meeting agendas and travel bookings.
  • To take responsibility and ownership of deadline compliance for all direct reports, as well as management and maintenance of all important documentation for the executive team and board.
  • To act as a point of contact to internal and external stakeholders ensuring effective communication channels to the CEO.
  • Provide diary and administrative support for up to three other Executive Team members.
  • As the right-hand person to the CEO, the Executive Assistant will undertake a broad range of duties including communication, diary and email management, ensuring that they are prepared for all the meetings they will attend and that their day allows time for all their activities including outbound telephone calls and travel time etc & also assist with general administrative tasks.
  • Accountable for all travel arrangements, managing flights & trains, hotel reservations, appointment schedules for travel and itineraries, making reservations for meetings at restaurants and private venues.
  • To be a central point of contact in the Exec team, communicating clearly to ensure that information is shared among the team.
  • This role will involve the handling of sensitive and confidential issues; therefore, a sustained high level of professionalism and discretion are essential attributes as is a confident, can-do attitude coupled with similar experience in a previous role.
  • To minute meetings, prepare agendas, distribute papers to agreed timescales and keep accurate records of attendance. Track the action points from meetings and following up with Exec team members as necessary through to completion.
  • Assist with organising biannual City results roadshow and work closely with financial services firms.
  • Personal support to CEO.
  • Collating and submitting expenses.
  • Assist the People Director with the upkeep of company health & life cover policies.
  • Work closely with the Assistant Company secretary with organising Board meetings, agendas & documents & meetings venues.
  • Event planning and management and supporting with company conferences.

 

Working pattern:

This is a field based role with regular travel to the Manchester area. There is also the option to work from our head office in Ashton-under-Lyne. Monday to Friday, flexible hours to meet the needs of the business. There will also be an expectation for some overnight stays when attending Executive meetings, conferences & events.
